Privacy Policy

We take your privacy seriously - here's how we handle your information

Last Updated: November 11, 2025

Introduction

Look, we get it - privacy policies can be a real snooze-fest. But here at Crystarion Vault HR Solutions, we're not about hiding things in legal jargon. This document spells out exactly what we do with your information when you work with us, apply through us, or just browse our site.

We're based in Toronto, Ontario, and we're serious about complying with Canadian privacy laws - specifically PIPEDA (Personal Information Protection and Electronic Documents Act). That's not just legal talk; it means we've got your back when it comes to protecting your personal info.

What Information We Collect

We're gonna be straight with you - we collect different types of info depending on how you interact with us.

  • Your resume, CV, cover letters - the works

How We Use Your Information

We're not in the business of hoarding data for fun. Everything we collect has a purpose, and here's what that looks like:

Recruitment & Placement

Matching you with opportunities, presenting your profile to clients, coordinating interviews, and basically doing what we do best - finding the right fit for both sides.

Communication

Keeping you in the loop about opportunities, responding to your inquiries, sending updates about your application status. We won't spam you - promise.

Service Improvement

Understanding what's working and what's not on our website, improving our matching algorithms, and generally trying to be better at what we do.

Legal Compliance

Meeting our legal obligations, keeping records we're required to keep, and protecting everyone's rights (including ours).

When We Share Your Data

We're not selling your information to random companies - that's not our thing. But there are specific situations where we'll share your info:

With Potential Employers

Obviously, if you're a candidate, we'll share your profile with companies that have relevant openings. That's literally our job. But we'll always get your consent first.

Service Providers

We work with trusted third parties for things like email services, cloud storage, and payment processing. They only get what they need to do their job, and they're contractually bound to keep it secure.

Legal Requirements

If the law requires it, or if we need to protect our rights or someone's safety, we might need to share information. We're talking subpoenas, court orders, that kind of thing.

Cookies & Tracking Technologies

Yeah, we use cookies - but not the chocolate chip kind (sadly). These little text files help us remember your preferences and understand how people use our site.

What We're Using:
  • Essential Cookies: The ones that keep the site functioning properly. Can't really turn these off without breaking things.
  • Analytics Cookies: Help us see what pages are popular, where people are coming from, that sort of thing. No personal identification, just patterns.
  • Preference Cookies: Remember your settings so you don't have to keep telling us the same stuff.

You can manage cookies through your browser settings if you're not cool with them. Just know that turning off certain cookies might make the site less useful for you.

How We Protect Your Information

Security isn't just a checkbox for us - it's built into everything we do. We've got multiple layers of protection in place:

Encryption

All data transmission is encrypted using industry-standard SSL/TLS protocols. Your info is scrambled when it moves around.

Access Controls

Only authorized team members can access your data, and they only get access to what they need to do their jobs.

Secure Storage

We use reputable cloud services with strong security measures and regular backups. Your data isn't sitting on someone's laptop.

Staff Training

Our team gets regular training on data protection and privacy. They know the importance of keeping your info secure.

How Long We Keep Your Data

We don't hang onto your information forever - that'd be weird and unnecessary. Here's our general approach:

Data Type Retention Period
Active Candidate Info Duration of active job search plus 2 years (unless you ask us to remove it sooner)
Placed Candidate Records 7 years from placement date (legal requirement for employment records)
Client Data Duration of business relationship plus 7 years
Website Analytics 26 months, then it's anonymized
Correspondence As long as reasonably necessary for the purpose

If you want us to delete your info earlier, just ask. We'll honor that unless we've got a legal reason to keep it.

Your Rights Over Your Data

This is your information, and you've got rights. Here's what you can do:

You can request a copy of all the personal information we hold about you. We'll provide it in a format that's easy to understand and use.

Spotted a mistake in your profile? Let us know and we'll fix it pronto. Accurate data is important to us too.

Want us to delete your information? We'll do it unless we're legally required to keep it (like for tax or employment law reasons).

Changed your mind about us using your data for something? You can withdraw consent anytime. Just know it might limit how we can help you.

Don't want to hear about new opportunities? There's an unsubscribe link in every email we send. Click it and you're off the list.

If you think we've mishandled your data, you can complain to the Office of the Privacy Commissioner of Canada. We'd prefer you talk to us first though - we want to make things right.

Third-Party Links & Services

Our website might link to other sites - job boards, LinkedIn, company career pages, that kind of thing. Once you click away from our site, this privacy policy doesn't apply anymore. We can't control what other sites do with your information, so check out their privacy policies if you're concerned.

We try to only link to reputable sites, but we're not responsible for their practices or content.

Changes to This Policy

We might update this privacy policy from time to time - laws change, our practices evolve, you know how it goes. When we make changes, we'll update the "Last Updated" date at the top of this page.

If we make any major changes that affect how we use your personal information, we'll let you know via email or through a prominent notice on our website. We won't pull any sneaky stuff here.

Questions About Your Privacy?

Seriously, if anything in this policy is unclear or if you want to exercise any of your rights, just reach out. We're actual humans who care about this stuff.
